Office Services Associate

Job Description Summary

Provides high level customer service in a large corporate environment for a global professional services firm client. Sort by station and deliver all incoming and outgoing mail, faxes, and copy projects. Receive and deliver all incoming packages (i.e. FedEx, UPS, Airborne, Eastern Connection, etc.). Pick up and deliver copy jobs, faxes, and packages. Keep daily records of all incoming and outgoing mail and packages. Sorting, look-up, proper marking, and direction of all U.S.P.S. mail, overnight, and interoffice mail. Advise user of mailroom procedures and mailing operations. Proper procedures will be set and updated, when necessary, and adhered to at all time.

Job Description

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:
  • Delivery and pick up of mail, copy projects, and faxes throughout floors to and from Office Services.
  • Delivery and pick up of FedEx, UPS, DHL, Messenger, Airborne, Eastern Connection, and priority mail and any other incoming packages from various vendors.
  • Help keep inventory of all supplies in mail areas. This includes UPS shipping supplies, Eastern Connection supplies, boxes, etc.
  • Assist and notify end users of mail and shipping procedures (i.e. bulk mailings, international shipping, etc.).
  • Maintain daily logs and stat information for tracking and reporting purposes.
  • Audit and update mail lists.
  • Complete quality control copy projects.
  • Deliver copy projects.
  • Process all incoming mail and overnight packages.
  • Process all outgoing and interoffice mail.
  • Meter all outgoing U.S.P.S. mail.
  • Order, deliver, and set up food orders for all firm personnel and clients upon request.
  • Use high speed copiers / printers.
  • Troubleshoot all printer errors and report any issues to management
  • Process incoming mail, newspapers, and faxes.
  • Prepare outgoing inter-company pouches.
  • Prepare large volume copy/print requests and binding finishing services.
  • Support confidential document shredding services.
  • Set-up and maintain conference room.
  • Order office supplies (general supplies, paper, toner, etc.).
  • Order printed materials (business cards, letterhead, envelopes, etc.).
  • Maintain pantry areas and order pantry supplies.
  • All duties as assigned.
  • Must assist in providing services in all service lines in addition to primary role.

JOB REQUIREMENTS & QUALIFICATIONS:
  • Able to lift 50-75 lbs.
  • Valid driver's license
  • High school diploma or equivalent (GED)
  • Copier/fax/FedEx/postage machine knowledge
  • Basic computer skills
